1. Information We Collect

FoodSafe Pro ("we", "us", or "our") collects the following information when you use our service:

Account Identifier (OpenID) — Used to identify your account, link your documents, and manage subscription status
Scan Images — Photos of receipts and food handler certificates you upload for OCR processing
Extracted Data — Receipt amounts, dates, suppliers; certificate names, expiry dates, certificate numbers
Usage Data — Scan counts, feature usage (for quota management and service improvement)
Device Info — Operating system, browser version (for compatibility optimization)

2. How We Use Your Data

Your data is used exclusively for:

Providing OCR recognition and document management services
Sending certificate expiry reminders
Managing subscription quotas and billing
Service improvement and troubleshooting

3. Image Data Processing

Uploaded images are processed for OCR only. After recognition, we store only the extracted structured data, not the original image.

Failed recognitions do not result in image storage.

3a. Sensitive Data: Food Handler Certificates

Food handler certificate scanning involves collecting names, certificate numbers, and expiry dates. Under applicable privacy laws (GDPR Art. 9, CCPA, PIPL), this may be considered sensitive personal information.

This data is collected only when you voluntarily scan a certificate, solely for expiry reminder purposes. You may delete all certificate data at any time from the app settings. We do not share this data with third parties or use it for any other purpose.

4. Data Storage & Security

All data is stored on Tencent Cloud (WeChat CloudBase) servers located in mainland China. Security measures include:

End-to-end encryption (HTTPS)
Least-privilege cloud function permissions
Authenticated database access
Regular security audits

5. Third-Party Services

Tencent Cloud (WeChat CloudBase) — Data storage and cloud functions
WeChat Pay — Subscription payment processing (we do not store payment information)
OCR.space — OCR text recognition API (images transmitted encrypted, processing only)
Cloudflare Pages — Website hosting (standard CDN caching, no personal data stored)

6. Your Rights (GDPR & CCPA)

For all users:

Right to Access — Request a copy of your personal data
Right to Rectification — Correct inaccurate data
Right to Erasure — Request deletion of your data
Right to Data Portability — Export your data in a machine-readable format

For EU/EEA users (GDPR):

Right to Withdraw Consent — Withdraw consent at any time without affecting the lawfulness of processing before withdrawal
Right to Restrict Processing — Restrict how we use your data under certain circumstances
Right to Object — Object to processing based on legitimate interests
Automated Decision-Making — You have the right not to be subject to decisions based solely on automated processing

For California users (CCPA):

Right to Know — Know what personal information is collected, used, shared
Right to Delete — Request deletion of personal information
Right to Opt-Out — We do not sell personal information (no opt-out needed)

7. Data Retention

You can manage your data directly within the app:

View usage statistics
Export all your data (JSON format)
Delete all documents with one click

Deletion is irreversible. After subscription cancellation, your data is retained for 30 days before automatic deletion. Contact us for immediate deletion requests.

8. International Data Transfers

Your data is stored on servers in mainland China. By using our service, you acknowledge that your data will be transferred to and processed in China. We ensure appropriate safeguards are in place for such transfers.

9. Children's Privacy

FoodSafe Pro is intended for restaurant business operators. We do not knowingly collect data from individuals under 18. If we discover such data has been collected, we will delete it immediately.

10. Changes to This Policy

We may update this privacy policy from time to time. Material changes will be communicated via email or in-app notification. Continued use after changes constitutes acceptance.
